What has to happen before a new support worker can work with a participant

A new support worker is ready when four things are true, and only one of them is a training course. For a registered provider that means a cleared NDIS Worker Screening Check for risk-assessed roles, the mandatory NDIS Worker Orientation Module, your own induction, and training specific to the site and the participant they will support.

1. A cleared NDIS Worker Screening Check, if the role is risk-assessed or a key personnel role. This one takes the longest and it is outside your control.

2. The mandatory NDIS Worker Orientation Module, if you are a registered provider.

3. Your own induction: your policies, your incident and complaints process, your emergency procedures.

4. Anything specific to where they work and who they support: the site, the house, the participant's behaviour support plan.

The provider's own induction, and the site and participant training, are where providers lose time and where an auditor looks hardest. There is no legislated template for either, which is exactly why they get done inconsistently.

That is the half Wyzed runs. What training do NDIS support workers need before working with participants?

For a registered provider, two things are mandatory: the NDIS Worker Orientation Module “Quality, Safety and You”, and an NDIS Worker Screening Check for anyone in a risk-assessed or key personnel role. The NDIS Code of Conduct binds everyone in the sector, registered or not. Everything else is set by the supports you deliver.

Mandatory. The NDIS Quality and Safeguards Commission's own wording on the orientation module is that it is “useful for all workers, and mandatory for staff of registered NDIS providers”.

Binding on everyone, registered or not. Compliance with the NDIS Code of Conduct is a civil penalty provision, which makes it the one obligation with real teeth attached. It applies to providers and to the people they engage, whatever their registration status.

Not mandatory, and widely misunderstood. The Commission also publishes a set called “New worker: NDIS induction modules”, eight modules for people new to the sector. These are a different resource from the orientation module and they are not mandatory. The two get conflated constantly, including by training vendors.

Everything else is required by the nature of the supports you deliver, not by a single list. Manual handling, medication, infection control, positive behaviour support and high intensity supports all sit in that category. A provider delivering high intensity daily personal activities has obligations a provider delivering community access does not.

Which is the awkward part, because the list is different for every role you hire. Wyzed ships 94 NDIS modules covering the mandatory set and the role-specific ones, and you decide once what each role needs. Where the NDIS induction requirement actually comes from

Knowing where the NDIS induction requirement is actually written matters for an audit, because most articles cite the wrong document.

The words “induction” and “orientation” do not appear anywhere in the NDIS (Provider Registration and Practice Standards) Rules 2018. The Rules state the outcome, which is that each participant's support needs are met by workers who are competent in their role, and stop there.

The auditable requirement lives one level down, in the NDIS (Quality Indicators for NDIS Practice Standards) Guidelines 2018. Section 17(3), under Human Resource Management in the Core module, is the sentence an auditor works from:

“An orientation and induction process is in place that is completed by workers including completion of the mandatory NDIS worker orientation program.”

Providers assessed under the Verification pathway get the same orientation and induction requirement in shorter form at section 74(2). So it applies to registered providers on both pathways, large and small.

So you must be able to show two things: that an induction process exists, and that your workers completed it. Beyond the orientation module, nothing about its content or length is prescribed, which means the evidence you keep is the only thing that demonstrates it happened.

Which is really a records problem wearing a training costume. Wyzed keeps the process and the proof in the same place: what each role must complete, who completed it, on what date, and the certificate behind it, exportable per person or across the whole workforce.

Is the NDIS Worker Orientation Module enough on its own?

No, and it is not designed to be. The free NDIS Worker Orientation Module explains a worker's obligations under the NDIS Code of Conduct and issues them a certificate. It does not cover your policies, the participant, the site, role-specific competence, or give you a workforce-level record of who has completed it.

The module is free, it is produced by the NDIS Quality and Safeguards Commission, and every registered provider's staff should complete it. Use it. It is genuinely good.

It cannot teach a worker a specific behaviour support plan, or a particular house's emergency procedures, or your incident and complaints process, because it was never written for your service. Nor does it cover role-specific competence like medication, manual handling or high intensity supports.

The gap that bites hardest is the record. The certificate lives in the worker's own portal account, and there is no employer dashboard showing who in your team has completed it.

At five staff you can chase those certificates by email. At fifty you cannot, and at an audit you need the whole workforce in one view.

The orientation module and the Commission’s separate eight-module “New worker: NDIS induction modules” series are different resources. Only the orientation module is mandatory for staff of registered providers.

How long does it take to onboard a new NDIS support worker?

The training is not the bottleneck, the screening check is. Once a worker is in Wyzed they are training within minutes, and hundreds of workers can be sent their training in one action. An NDIS Worker Screening Check is issued by your state or territory screening unit, and processing time varies by jurisdiction. Some states allow a worker to begin while their application is pending, but only if you hold a written risk management plan and the worker is supervised at all times by someone who already holds a clearance. That allowance is not universal, so check your own state's rules before you roster anyone.

How do you make sure workers complete their training before starting with clients?

Make the training a precondition of the work, not a task alongside it. Assign it by role, so every support worker gets what that role requires. Assign it by site, so nobody works at a house until its procedures are done. Assign it by participant, so nobody supports someone until their behaviour support plan is completed. In Wyzed the worker cannot be marked ready until all three are done.

Making sure a worker has completed their training before they support a participant is what separates a course library from an onboarding system. Many training platforms answer it with a reporting screen rather than a mechanism.

The fix is to make the training a precondition of the work rather than a task alongside it.

By role. Set what a support worker must complete, and every support worker you add gets exactly that, automatically.

By site. Turn a particular house's procedures into its own module. Nobody works at that house until it is done.

By participant. Load a participant's behaviour support plan as a module with its supporting training attached. Nobody supports that participant until they have completed it.

Participant-specific training is the highest-value of the three ways to gate training, by role, by site or by participant, and the least common. A behaviour support plan sitting in a shared drive is not evidence that the worker supporting that participant has read it. The same plan as a completed module, dated, per worker, is.

In Wyzed the house procedures and the behaviour support plan are built as modules like any other, assigned by role, by tag or by sign-up link, and the worker cannot be marked ready until they are done. Providers running supported accommodation use the same mechanism per house, on top of the competency rules that apply to SIL workers.

Where a free module, generic induction software and an NDIS system differ

Generic induction software is built for contractor and site safety inductions. It handles a sign-in and a safety briefing well and is not designed around the NDIS Practice Standards. NDIS rostering and CRM platforms manage shifts, budgets and invoicing, with training as a checkbox. Neither is a bad product, and neither was built for NDIS onboarding and compliance. How this comparison was made. Each column is assessed on five criteria. Whether the NDIS Code of Conduct is covered, whether training is assigned by role, whether completion is recorded with a date and a certificate, whether licence and screening expiry is tracked, and whether the evidence can be produced as a report. Categories are assessed as a category rather than as any one product, and individual tools within a category may differ. The free module is assessed from the NDIS Commission's own course listing. How Wyzed runs onboarding

You add an employee and assign their role. From there the system onboards them, trains them for that role, keeps them compliant for as long as they work for you, and builds your audit-ready reports, without you having to do anything.

The role is the mechanism. A profile holds the courses, tags and licence requirements for a role. Give a new worker the support worker profile and their enrolments, tags and licence requirements all apply at once. You set the rules for what each role, team, site or participant requires, and every worker you add after that gets exactly what they need.

Onboarding can start in your system, not ours. Wyzed has a free open API, an MCP server and single sign-on. A worker added in your HR, payroll or rostering system flows straight into Wyzed, onboarded and assigned their training, with nobody logging in to make it happen. Home Caring runs this across roughly 2,000 staff, and Allara Support Services runs it from Employment Hero. Connecting a new system is usually about half an hour of work, not a project, and we do it for you. It works in both directions, so your rostering system can know a worker is cleared before anyone puts them on a shift.

The chasing runs itself. Reminders go out by SMS, email and in the app, and you choose which. Due dates chase before and after the date, and licence and qualification expiry alerts reach the worker and the admin well before anything lapses. Admins get a summary of who is falling behind, daily or weekly.

Renewals recur. Set a course to renew every 365 days from completion, or on a fixed date, and it runs for as long as that person works for you.

Onboarding runs the same at any size. Onboarding one new support worker and onboarding an entire incoming workforce are the same amount of work for you, because the workload does not grow with the headcount. Policies are signed off, not just read. A worker acknowledges a policy or procedure and it is time and date stamped against their name, against the exact version they were shown. When you update the document you send it out again and see who has signed the new one.

The records come out the other end. Course completion, progress, compliance and alert reports, per person or across the whole workforce, filtered by team, role, site or location, exportable to CSV, Excel or PDF, with certificates attached.

What Wyzed does not do

Worth saying plainly, because you should hear it from us rather than find out later.

Training streams, so it needs a signal. There is no offline mode. If your workers routinely train where there is no coverage, you should know that before you choose us.

We do not issue worker screening. We track the clearance, hold the evidence and alert you well before it expires. Issuing it is your state or territory screening unit, and their timing is not ours to promise.

We are not a rostering or payroll system. We connect to yours rather than replacing it.

What an NDIS auditor asks for on worker induction

For the worker training portion of an audit the evidence is straightforward: a record that an induction process exists, and records showing which workers completed what, and when.

One clarification worth having. Worker screening records carry an explicit seven-year retention requirement. For training and induction records specifically, no retention period is legislated. The requirement is simply that the records are maintained. Many providers apply seven years by analogy, which is sensible practice rather than a legal obligation, and we would rather tell you that than repeat a rule that does not exist.
